Southern Aminos – Chargeback Policy

1. Purpose

The purpose of this Chargeback Policy is to protect Southern Aminos from fraudulent disputes, ensure fair handling of legitimate billing concerns, and maintain compliance with federal guidelines, payment processors, and card-network regulations.

Southern Aminos provides transparent ordering, shipping, fulfillment, and complaint procedures. All customers are expected to follow these procedures before initiating any chargeback with their card issuer.

This policy applies to all purchases made through Southern Aminos.

2. Customer Responsibility Prior to Filing a Chargeback

Before initiating a chargeback, customers must:

  1. Contact Southern Aminos Support at cs@southernaminos.com

  2. Submit a formal complaint or claim using the appropriate Southern Aminos online form

  3. Provide requested evidence, including photos, tracking screenshots, order numbers, or proof of billing discrepancies

  4. Allow Southern Aminos the full investigation window (typically 3–5 business days)

Failure to follow these steps may result in:

  • Denial of future refunds

  • Delayed resolution

  • Restrictions on future ordering privileges

Southern Aminos reserves the right to dispute illegitimate or premature chargebacks and provide full supporting evidence to the processor.

3. Valid Reasons for a Chargeback

A chargeback should only be filed for legitimate banking-related issues such as:

  • Unauthorized transactions (requires bank verification)

  • Duplicate charges

  • Card compromised activity confirmed by issuer

  • Processor-level technical error

  • Billing errors not resolved through Southern Aminos support

Most issues can and should be resolved directly through Southern Aminos without a chargeback.

4. Invalid or Non-Qualifying Chargeback Reasons

Chargebacks will be disputed if filed for reasons that are not legitimate billing disputes, including:

4.1 Delivery & Shipping Situations

  • Claiming non-delivery when tracking shows “Delivered”

  • Filing a dispute instead of filing a Package Protection claim

  • Filing a dispute after removing or declining Package Protection

  • Filing a dispute before carrier or Southern Aminos timelines have passed

  • Filing disputes for porch theft or misdelivery without using the proper claims procedures

4.2 Product Concerns

  • Dissatisfaction with product appearance without supporting evidence

  • Claims involving reconstitution, dosing, biological outcomes, or human/veterinary use

  • Differences in research results or subjective expectations

  • Claiming a product “did not work” — this is not applicable for research-use-only products

4.3 Order Processing & Customer Decisions

  • Buyer’s remorse

  • Failing to review the order before checkout

  • Failing to apply a discount code before purchasing

  • Attempted cancellation after the order has begun processing or shipped

  • Using the wrong shipping address or submitting incomplete addresses

4.4 Abuse or Policy Violations

  • Filing a chargeback instead of providing requested evidence

  • Filing multiple baseless disputes

  • Attempting to bypass Southern Aminos complaint or claim requirements

Southern Aminos documents every order with fulfillment photos, weight verification, tracking logs, and quality checks to dispute invalid chargebacks.

5. Evidence Southern Aminos Provides in Chargeback Disputes

If an invalid chargeback is filed, Southern Aminos submits comprehensive evidence to the bank, including:

  • Order invoice and IP address logs

  • Billing and shipping address verification

  • Checkout acceptance of Terms, Policies, and Package Protection selections

  • Fulfillment photos, packaging verification, and weight audits

  • Tracking data and delivery confirmation

  • Customer communication history

  • Claim/complaint investigation records (if any)

  • Proof that Package Protection was declined (if applicable)

This evidence typically results in chargeback reversals in favor of Southern Aminos.

6. Consequences of Filing Invalid or Fraudulent Chargebacks

Customers who file illegitimate chargebacks or attempt to obtain products without paying may face:

  • Permanent account closure

  • Cancellation of future orders

  • Reporting to card networks for abuse

  • Investigation for fraud depending on severity

  • Refusal of future service from Southern Aminos

Southern Aminos maintains strict zero-tolerance policies toward chargeback fraud.

7. Chargeback Fees and Losses

When a chargeback is filed, Southern Aminos incurs:

  • Chargeback fee (typically $20–$35 depending on processor)

  • Loss of product and shipping costs

  • Administrative labor for evidence submission

  • Potential risk score increases

Because of these expenses:

  • Southern Aminos may require reimbursement of chargeback fees for disputes later proven invalid or reversed

  • Accounts with repeated issues may be placed on manual review or permanently restricted

8. How Southern Aminos Resolves Billing Issues Without Chargebacks

Customers are encouraged to reach out directly for any billing concerns.

Southern Aminos can resolve most issues through:

  • Refunds when authorized (per Refund Policy)

  • Partial credit when appropriate

  • Correction of duplicate charges

  • Verification of billing errors

  • Reshipments or replacements via approved claim channels

We respond quickly and fairly — filing a chargeback first prevents us from assisting.

9. Package Protection and Chargebacks

Customers who decline Package Protection acknowledge:

  • Southern Aminos is not responsible for theft, loss, or damage once the carrier scans the package

  • Filing a chargeback for items lost or stolen without protection will be disputed

Package Protection is the required mechanism to receive:

  • Free replacements

  • Free reshipments

  • Coverage for porch theft or misdelivery

Chargebacks are not a substitute for proper claims.

10. Final Determinations

Chargeback-related decisions, evidence submissions, and disputes are handled by Southern Aminos Support, QA, and Compliance teams in coordination with our payment processor.

All determinations are final once the card issuer concludes the dispute.

11. Policy Updates

Southern Aminos may modify this Chargeback Policy at any time to align with banking rules, card-network guidelines, or operational changes.
